Job location: Charlottesville, VA Employment Type: Full-time Posted data: 2019-04-16 Req: R0005195 The Department of Neuroscience, at the University of Virginia School of Medicine, seeks an Intermediate Administrative Coordinator to support the Department Chair and Director of the Center for Brain Immunology and Glia (BIG). This position requires someone with great customer service skills who can think on his/her feet and react accordingly. This is a busy and growing department. Duties include, but are not limited to: providing full administrative support to the Department Chair and Director of the BIG Center, arranging travel for seminar speakers, and producing reports from electronic files. Good computer skills and the ability to work with both Windows and Apple products are a must. The successful applicant will have a high school diploma or equivalent and at least one year of administrative experience including general office duties, making travel arrangements, and providing administrative support. An associate's degree is preferred. A bachelor's degree may substitute for experience. This position is restricted and contingent upon the continuation of funding. Intermediate Administrative Coordinators perform operational support for a composite of several functions including fiscal administration, procurement, human resources, academic support, student services, communications, grants administration, and other administrative functions. They are distinguished from Administrative Coordinator by increased complexity of work, level of supervision received, and degree of autonomy. At the Intermediate level, they work independently and participate in the planning and execution of departmental policies and procedures and serve as subject matters experts for administrative functions. Responsibilities can include: Perform all duties of an Administrative Coordinator. Support the ongoing administrative functions and operations, including special projects of an organization. May support a unit head, as part of their composite services. Perform a variety of duties requiring an understanding of organizational operations, organizational procedures, and personnel. Formulate decisions and make recommendations regarding planning, organizing, and scheduling work. For fiscal support, may perform basic budget projections, run fiscal reports, monitor fund balances, and work with account owners to stay within budget. May perform accounts receivable and cashiering functions. For grant administration, may provide administrative support for pre- and post-award. For academic and student support, may communicate with students regarding academic policies and procedures, provide information on course content and availability, and coordinate activities and events for student programs. For human resources, may provide process support to search committees and coordinate successful onboarding of new employees. Prepare new hire paperwork and visa documents. Collect and verify employee payroll and timekeeping records. Answers general questions from employees and refer human resources questions to the appropriate experts. Additional duties as assigned. MINIMUM REQUIREMENTS: Education: The successful applicant will have a high school diploma or equivalent. An Associate's Degree, or higher, is preferred. Experience: The successful applicant will have at least one year of administrative experience including general office duties, making travel arrangements, and providing administrative support. A bachelor's degree may substitute for experience. This position requires someone with great customer service skills who can think on his/her feet and react accordingly. Good computer skills and the ability to work with both Windows and Apple products are a must. PHYSICAL DEMANDS: This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require walking some distance to attend meetings, and programs.
