The University of Virginia Darden School of Business, one of the world's leading business schools, seeks aStudent Affairs and MBA Program Coordinatorto join its team. This position is responsible for providing an elevated level of administrative support to the Office of Student Affairs (OSA), as well as serving as the suite receptionist for the Student Affairs and Registrar offices. Responsibilities include addressing student and faculty concerns in a friendly and helpful manner both in person and via e-mail, event coordination, program support and providing project management support for the Assistant Dean of Student Affairs, Director of Student Engagement, Director of MBA Program and Student Affairs, Assistant Dean for Global Initiatives and Assistant Dean for Global Diversity, Equity and Inclusion.Specific duties and responsibilities:_General Administrative Support_+ Provide advanced, administrative coordination to support office operations and special projects. + Serve as suite receptionist and first-line responder to student inquires. Screen callers and visitors. + Coordinate meetings and appointments. Secure location, arrange catering as necessary and include support materials for meetings. + Support student clubs with food ordering, sign and nametag creation and copying needs. + Provide support for student awards. Compile award nominees, list and descriptions, make packets and order gifts. + Manage Darden Directory. + Review and respond to correspondence. + Expense tracking and oversee student club reimbursement and student section budgets. + Schedule, plan, and execute student interfacing touchpoints. + Order supplies for office and student work room. Oversee student mailbox and student copy room areas. + Make travel arrangements and process travel reimbursements. + Manage electronic files and databases for OSA. + Manage OSA external website updates. + Manage Darden portal OSA pages and classified section. + Serve as the point of contact for facility, equipment, or service calls._Event Management and Support_+ Manage several student events throughout the year, including but not limited to Start of School, Fall Festival and Dual Degree reception. + Maintain Darden Portal Student Events calendar. + Track budget expenditures for events. + Organize materials for special events and programs. + Oversee logistical components of orientation and graduation activities. + Process monthly expenses for meals and other billable events for OSA and students. + Serve as OSA representative at the summer Back-to-School logistical meeting._MBA Program Support_+ Serve as additional support for First Year Program Coordinator and Director of the Full-time MBA Program. + Assist with MBA Program eventsincluding, but not limited to Opening Week, course materials distribution, Operations class visits, Second Year Welcome Back, and course simulations. + Serve on Exam Help on-call support team for First Year and Second Year Exams. + Assist with program communications as needed._International Student Support_+ Coordinate F-2 visa holders orientation (in conjunction with Law and ISO). + Conduct Thanksgiving Meal Match program pre-Thanksgiving. + Plan and execute International Thanksgiving Dinner. + Implement International Workshop Series programming for international and non-native English speaking students. This includes academic support sessions: accent modification, B-Speak workshops, writing, and stress/time management. + Serve as main point of contact for summer UVELPE and ESL resources coordination. + Serve as ISO and CAELC liaison; coordinate monthly ISO office hours. + Create Things to Do e-mails for winter and spring break for intl students who are staying in town. Help coordinate a google doc so that students can connect with one another if they are not leaving.Professional experience and education:+ High School diploma required, Bachelors degree strongly preferred. + 4 years of administrative/general office support experience required. Bachelor's egree may substitute for years of experience. + Demonstrated high level of professionalism, customer service, follow-through, teamwork, flexibility and positive, can-do attitude. + Ability to work independently and in confidence, understanding the need to protect confidentiality. + Excellent ability to build and maintain effective collaborative relationships, including a diverse set of staff, faculty and graduate students. + Excellent communication, customer service and time management skills. + Strong interpersonal relationship and teamwork skills. + Ability to work both independently and collaboratively in a team environment. + Ability to evaluate and apply information and provide advice. + Demonstrated experience handling multiple priorities successfully in a professional office environment. + Higher Education experience, working with students, faculty and academic programs preferred. + Proficiency with Microsoft suite office programs (Word, PowerPoint, Outlook and Excel). + Familiarity of tools for virtual meetings (Zoom preferred). _Anticipated hiring range: $47,000 - $50,000_ This position will remain open until filled.
